Confidential Executive Assistant:

The role of Confidential Executive Assistant offers comprehensive administrative support to both the Director of Legal Talent (DLT) and the Steering Committee, playing a pivotal role in the smooth execution of operational and strategic initiatives within the firm.

The Confidential Executive Assistant will be responsible for coordinating and attending Steering Committee and Partnership meetings and the management of associated logistics for these events. In addition, this role will support the Steering Committee in setting meeting agendas, tracking action items, and ensuring deadlines are met. The Confidential Executive Assistant will also oversee the maintenance of confidential filing systems for both the Steering Committee and DLT, ensuring the secure management of all records.

The Confidential Executive Assistant will also support the DLT, including supporting the administrative functions related to student and associate recruitment, training, development, and performance evaluations. The Confidential Executive Assistant will manage the DLT’s calendar, coordinate meetings, and provide essential support for various ad-hoc events. The role also requires proficiency in word processing and presentation software, as well as the ability to update and maintain databases and spreadsheets. Collaboration with other firm committees and HR will be key to ensuring alignment across various initiatives.

The successful candidate will demonstrate exceptional attention to detail, organizational acumen, and a high level of discretion in handling confidential matters. A proactive approach to managing multiple tasks and deadlines, along with experience using file management software (preferably in a legal environment), is essential for success in this role.

Key Responsibilities:

  • Report to the Director of Legal Talent and Steering Committee, providing comprehensive administrative support to both teams.
  • Schedule and attend Steering Committee and partnership meetings, ensuring all logistics are managed, including minute-taking, room set-up, and catering coordination.
  • Assist the Steering Committee in setting meeting agendas, tracking action items, and ensuring deadlines are met.
  • Maintain and manage the filing system for both the Steering Committee and DLT, ensuring secure handling of confidential records.
  • Attendance at monthly management meetings, and assisting in scheduling, setting agendas and tracking action items, for same.
  • Provide high-level administrative support for the Managing Partners, including:
    • Planning
    • Scheduling
    • Coordinating both internal and external meetings
  • Offer administrative support to the Director of Legal Talent, including:
    • Managing the DLT’s calendar
    • Assisting with all administrative functions related to student and associate recruitment, training, development, and performance evaluation
    • Inputting and updating information in databases and spreadsheets
    • Organizing function-related events as required
    • Utilize word processing and presentation software to create, edit, and format documents as needed.
    • Coordinate with other firm committees and HR as required, to ensure alignment on various initiatives.
    • Perform other administrative functions as needed to support firm operations.

Required Skills and Competencies:

  • Strong attention to detail and organizational skills.
  • High level of discretion and ability to maintain confidentiality and ensure data security.
  • Ability to manage multiple tasks simultaneously and proactively track progress toward deadlines.
  • Experience with file management software, ideally in a legal environment (preferably VI).
  • Proficiency in word processing, PowerPoint, and Excel.
  • Previous experience in a law firm setting is desirable, but not required.
